This privacy policy explains how JCL Glass Limited ("we", "us", "our") collects and uses personal data when you use the JCL Glass Trade Order App (the "App") and associated website. We are the data controller for the personal data described below. The App is developed and maintained on our behalf by Rak Developments.

1. Who this policy is for

The App is a business tool for JCL Glass's trade customers (glazing contractors and their staff) to view their orders and quotes, request remakes and changes, upload supporting photos, and convert quotes to orders. It is not intended for members of the public or for anyone under 18.

2. What personal data we collect

• Account details — your account code, company name, email address, and a password (stored only as a secure one-way hash, never in plain text).
• Order and quote information — order references, job numbers, delivery addresses, dates, financial totals and line-item details, drawn from our GlassOffice trade system for your account.
• Requests you submit — remake and change requests, including the reason you enter and any photograph you choose to upload to support a request.
• Limited technical data — a login session token stored on your device to keep you signed in. We do not use advertising or tracking cookies.

3. How and why we use it

• To provide the trade ordering service — showing you your orders and quotes and processing the requests you submit.
• To manage your account and keep you signed in securely.
• To respond to remake, change and conversion requests, including reviewing any photos you attach.

Our lawful bases under UK GDPR are the performance of our contract with your business and our legitimate interests in operating and improving the trade ordering service.

4. Photographs you upload

Photos you attach to a remake or change request are stored in a private, access-controlled store and are visible only to authorised JCL Glass staff, solely to assess your request. They are not made public. Please only upload images relevant to the request.

5. Where your data is stored and how we protect it

Data is transmitted over encrypted (HTTPS) connections and held in access-controlled systems. Passwords are hashed; photo storage is private with time-limited access links generated only for authorised staff.

To run the service we use reputable third-party providers for cloud hosting, database, and file storage. These providers process data only on our instructions under appropriate data-processing agreements. Some processing may take place outside the UK; where it does, appropriate safeguards (such as UK/EU-approved transfer mechanisms) are in place.

6. Who we share it with

We do not sell your personal data. It is accessible to authorised JCL Glass staff to operate the service, and to the providers described above. We may disclose data where required by law.

7. How long we keep it

We keep account and order-related data for as long as your account is active and the business relationship continues, and thereafter only as long as necessary to meet our legal, accounting and record-keeping obligations. Request photos are retained for as long as needed to process and evidence the related request.

8. Your rights

Under UK data protection law you have the right to access, correct, erase, restrict or object to the processing of your personal data, and to data portability. To exercise any of these, contact us using the details below. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

9. Changes to this policy

We may update this policy from time to time. The "last updated" date above shows when it was last changed; material changes will be notified where appropriate.
